What else we arrange, and the quote that comes before it
Updated 3 November 2026
Arrangements and extras for a stay aboard Navila include the Labuan Bajo pickup, a larger vehicle for a larger party, island dinners, meetings, decoration and a photographer. None has a fixed price. Each one is quoted in writing first, and your fare grows by nothing you have not agreed.
What else we can organise beyond the voyage itself
A voyage on Navila needs no extras to be complete. The pickup, the meals, the cabins and the crew are already in the fare. Some parties would like a little more, and we arrange it quietly, telling you the cost before it reaches the invoice.
What we can organise, each on request and quoted first:
- A work session in the dining room or on deck at anchor, or a company outing with the cabin plan and invoice agreed in writing.
- A family gathering or a birthday across the generations, planned around the slowest walker.
- Four kinds of dinner: on an island, on an island for your party alone, a seafood dinner, or one that marks an occasion or meets a dietary need.
- Cabin or deck decoration for an occasion, agreed in advance.
- A photographer; for a drone, ask us and we arrange the park's permit.
Two rules apply throughout. Nothing joins your fare until you have accepted a written quote. And none carries a fixed price: the cost shifts with party size, location and season. Anything planned for a landing also depends on the captain, the rangers, the tide and the park rules.
Free pickup
Included in Labuan Bajo: a driver takes you from Komodo Airport or your hotel to the pier and back, timed around your flights or the open-trip meeting.
A bigger vehicle for a bigger party: a HiAce van with up to 12 seats, or a coach on request. Priced before it is added.
Transfer from Komodo Airport, and bigger vehicles for larger parties
The transfer in Labuan Bajo is included on every trip. We collect you from the airport or your hotel, take you to the pier and bring you back at the end. It covers Labuan Bajo only.
On the open trip you meet between 09:00 and 09:30, and the boat sails between 10:00 and 11:00. On a private charter the pickup is timed around your flights. The driver's contact reaches you on WhatsApp before the day.
As standard, a car or minibus carries your group. Bigger groups can ask for an upgrade, either a Toyota HiAce seating up to 12 or a coach. We price the upgrade before it is added, never afterwards.
Flights and hotels are not part of the transfer or the fare.
Dinner served on a sandbar or at the stern
Dinner away from the dining room can be arranged in several ways. An island dinner is served ashore, and a private island dinner is laid for your party alone. A seafood dinner is just what it sounds like. A dinner with a special request can mark a birthday or a proposal, or meet a dietary need.
Dinner at the stern is the simplest, since the stern relax area is already part of the boat. Whether a landing can happen depends on the captain, the rangers, the tide and the park rules, and none of those four can be settled in advance by anyone. If the shore is closed, the stern is where dinner goes instead.
Tell us the occasion, the head count and every dietary need, and we confirm each need in writing. No dish is promised until the kitchen has read your request.
Each dinner is quoted separately, and the quote reaches you before anything is added to your fare.
Business meetings and evening sessions on deck
A meeting on board is arranged on request. A company can hold a working session in the indoor dining room, or ask for an evening sitting on deck at anchor; a corporate outing or a family gathering works the same way.
The spaces are the indoor dining room and the relax areas, and the boat's home theatre is the only equipment. Starlink internet is fitted, but reception rises and falls with the boat's position, so no session should rely on a connection.
Tell us how many will attend, how long the session lasts and what you need. We ask Navila and reply with a quote. The executive page covers a retreat for senior colleagues in more detail, with the cabin plan and the invoice.
Evening sessions work best after the last stop of the day, when the boat is at anchor.
Your request in, our priced reply out
Every arrangement follows the same four steps.
- Write to us on WhatsApp with the date, the head count and what you would like.
- We ask Navila's team what is possible on your date.
- We reply in writing with a priced quote.
- If you accept in writing, we add the line to your invoice. If you say nothing, nothing is added.
Some requests need time. A proposal or a decoration is better planned weeks ahead than days, so tell us early. If the date is too close, we will say so plainly, and we would much rather say it in the first week than in the last week before you sail.
A photographer flying a drone needs the park's permission, available on request only. We arrange that permit and quote it before it is added.
FAQ
Does the trip include a pickup from the airport or my hotel in Labuan Bajo?
Yes. The transfer within Labuan Bajo is included: a car collects you at the airport or hotel, takes you to the pier and brings you back at the end. On the open trip the meeting is between 09:00 and 09:30, and a private charter sets the time around your flights. Flights and hotels are not included.
Can I upgrade to a larger vehicle for the pickup?
Yes, on request. The standard vehicle is a car or a minibus. A HiAce van takes up to 12 passengers, and a coach suits a bigger party. We price the upgrade before it is added, never after, and it applies within Labuan Bajo only.
Can I ask for a birthday cake, decoration or a proposal on board?
Yes, as an arrangement on request. Tell us the occasion and the date, and we ask Navila what is possible, then quote the decoration, the dinner or the cake in writing before anything is added. For a proposal, give us several weeks, so the plan can be made calmly.
